This Privacy Policy explains the information practices of Ace Laser Inc., doing business as TonerParts.com (“TonerParts,” “we,” “us,” or “our”). It applies to TonerParts.com, online and telephone orders, customer accounts, quotations, support requests, returns, warranty claims, marketing communications, and related services.

2. What information do we collect?
Depending on how you interact with us, we may collect:
- Identity and contact information: name, company name, job title, username, email, telephone number, billing address, shipping address, and account identifiers.
- Order and transaction information: products viewed or purchased, quantities, prices, discounts, invoices, payment status, shipping details, tracking, returns, warranty history, and customer-service records.
- Payment information: payment method, billing details, transaction identifiers, authorization results, and limited card information such as card type and last four digits. Full payment-card numbers are generally handled by payment providers rather than stored by TonerParts.
- Account and business information: account preferences, purchase orders, approved credit terms, tax-exemption or resale documentation, and business contact information.
- Communications: emails, chats, forms, reviews, survey answers, call notes, photos, printer information, troubleshooting details, and other content you provide.
- Technical and usage information: IP address, browser, device type, operating system, referring page, pages viewed, searches, clicks, cart activity, session information, approximate location derived from IP, cookie identifiers, and website performance information.
- Fraud and security information: verification results, risk signals, login history, and information used to prevent abuse or unauthorized transactions.
- Marketing preferences: subscriptions, consent records, campaign interactions, and opt-out choices.
3. How do we collect information?
We collect information:
- Directly from you when you place an order, create an account, request a quotation, contact support, submit a return or warranty request, post a review, subscribe, or communicate with us.
- Automatically through cookies, pixels, logs, analytics tools, security systems, and similar technologies when you use the Site.
- From service providers such as Shopify, payment processors, carriers, fraud-prevention providers, review platforms, marketing providers, and analytics services.
- From business sources such as your employer, purchasing department, authorized account administrator, marketplace, distributor, or publicly available business information where lawful.
4. Why do we use personal information?
We may use personal information to:
- Provide products, quotations, accounts, repairs, and customer services.
- Process payments, taxes, purchase orders, refunds, exchanges, credits, returns, and warranty claims.
- Confirm product and printer compatibility and provide technical support.
- Pick, pack, ship, track, and deliver orders and investigate damaged or missing shipments.
- Authenticate accounts, verify information, detect fraud, protect security, and enforce policies.
- Communicate about orders, accounts, service requests, recalls, availability, or important operational changes.
- Maintain business, tax, accounting, warranty, compliance, and dispute records.

5. What are our grounds for processing information?
Depending on the activity and applicable law, we process information with your express or implied consent, to provide a product or service you requested, to satisfy legal obligations, or for reasonable business purposes permitted by law.
You may withdraw consent to optional uses, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may prevent us from providing a feature or service that requires the information. We will explain significant consequences when appropriate.
6. When do we disclose personal information?
We do not disclose personal information indiscriminately. We may provide information to the following categories of recipients when reasonably necessary:
- E-commerce and hosting providers, including Shopify and supporting technology providers.
- Payment and financial providers that authorize payments, process refunds, manage fraud checks, or support approved business credit.
- Warehouses, suppliers, and fulfilment partners involved in sourcing or preparing an order.
- Carriers and delivery providers such as Canada Post, Purolator, FedEx, UPS, or USPS.
- Technology, security, support, return, review, communications, analytics, and advertising providers that perform services for us.
- Professional advisers such as accountants, auditors, insurers, consultants, and legal counsel.
- Government, regulatory, law-enforcement, judicial, or other parties where disclosure is required or permitted by law.
- A successor organization in connection with a proposed or completed financing, merger, restructuring, sale, or transfer of all or part of the business, subject to appropriate protections.
Service providers are expected to use information only for authorized purposes and to apply appropriate safeguards, subject to their roles and applicable law.
7. How is payment information handled?
Online payments are processed through Shopify and applicable payment providers. TonerParts generally does not receive or store the complete payment-card number or security code. Payment providers may collect and process information under their own privacy notices and security obligations.
We may retain transaction references, card brand, last four digits, payment status, billing address, and fraud-screening results for accounting, support, refunds, chargebacks, security, and legal compliance.
8. How do cookies and similar technologies work?
Cookies and similar technologies are small files or identifiers used to operate the store, remember preferences, keep carts and accounts working, maintain security, analyze performance, and measure marketing.
They may include:
- Strictly necessary cookies for security, checkout, cart, account, load balancing, and core Site operation.
- Functional cookies for language, currency, preferences, and enhanced features.
- Analytics cookies that help us understand traffic, usage, errors, and performance.

We may also use click-fraud, bot-detection, security, and risk-management tools to protect advertising budgets, accounts, payments, and the Site. Where required, non-essential advertising or analytics technologies are used with consent or are subject to available opt-out controls.

10. Do we sell or share personal information?
TonerParts does not sell personal information for money and does not operate as a data broker.
Some U.S. privacy laws may define “sale,” “sharing,” or “targeted advertising” broadly enough to include certain advertising-cookie disclosures even when no money is paid for the information. Where those laws apply, eligible residents may request to opt out of such activity by using available cookie controls or contacting support@tonerparts.com.
Where legally required and technically supported, we will process recognized browser-based opt-out signals, such as Global Privacy Control, for the browser or device sending the signal.
11. Email marketing and communications
We send order confirmations, shipping updates, account notices, support responses, warranty communications, and other transactional messages necessary to serve you.
We send promotional emails only as permitted by applicable law—for example, with consent or another lawful basis recognized by Canada’s anti-spam requirements. You may unsubscribe using the link in a marketing email or by contacting us. Unsubscribing from marketing does not stop essential transactional or service communications.
We retain consent and unsubscribe records as reasonably necessary to honour your choices and demonstrate compliance.
12. Is information processed outside Canada?
Yes. TonerParts serves customers in Canada and the United States and uses service providers that may process or store information in Canada, the United States, or other countries. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and lawful access procedures.
We select service providers and use contractual, organizational, or technical protections appropriate to the nature of the information and service. Contact our Privacy Officer if you would like more information about cross-border processing.
13. How long do we retain information?
We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including order fulfilment, support, warranty coverage, accounting, tax, fraud prevention, security, legal compliance, dispute resolution, and enforcement.
Retention periods vary by record type. For example, transaction and tax records may be kept for legally required periods; account information may remain while the account is active; support and warranty records may remain while relevant to product history or claims; and marketing information remains until consent is withdrawn or the information is no longer needed.
When information is no longer required, we take reasonable steps to delete, anonymize, or securely dispose of it, subject to backups, legal holds, and technical limitations.
14. How do we protect personal information?
We use administrative, technical, and physical safeguards appropriate to the sensitivity and volume of information, which may include access controls, authentication, encryption in transit, secure service providers, fraud monitoring, staff procedures, updates, backups, and restricted access.
No internet transmission or storage system is completely secure. We therefore cannot guarantee absolute security, but we maintain reasonable protections and review them as risks and technology change.
You can help by using a unique password, protecting your account and devices, avoiding sensitive information in ordinary email, and notifying us promptly of suspected unauthorized activity.
15. What happens if there is a privacy breach?
We investigate suspected privacy and security incidents and take reasonable steps to contain them, reduce harm, recover systems, and prevent recurrence.
Where required by applicable law, we will notify affected individuals and the appropriate privacy regulator and maintain required breach records. Notifications may include the nature of the incident, information involved, steps taken, potential risks, and recommended protective actions.
16. What privacy rights do Canadian customers have?
Subject to British Columbia’s Personal Information Protection Act, the federal Personal Information Protection and Electronic Documents Act where applicable, and other laws, you may have the right to:
- Ask whether we hold personal information about you.
- Request access to your personal information and information about its use or disclosure.
- Request correction of inaccurate or incomplete information.
- Withdraw consent to optional collection, use, or disclosure, subject to legal and contractual limits.

Access may be limited where permitted or required by law, including to protect another person’s information, confidential commercial information, privilege, security, or an investigation.
17. What rights may U.S. residents have?
Depending on your state of residence, the law’s applicability thresholds, and available exceptions, you may have rights to request access, correction, deletion, portability, or information about categories of data and recipients; to opt out of sale, sharing, targeted advertising, or certain profiling; and to appeal a denied request.

We may verify identity and authority before responding. An authorized agent may submit a request where allowed, subject to proof of authorization.
18. How can you exercise privacy choices?
- Access or correction: email our Privacy Officer with enough detail to identify the relevant account or transaction.
- Marketing: use the unsubscribe link in a promotional email.
- Cookies: use available Site cookie controls and browser settings.
- Advertising choices: use applicable provider settings, cookie controls, or a supported opt-out signal.
- Account updates: sign in where available or contact customer support.
We aim to respond within the period required by applicable law. If we need more time or cannot fulfil part of a request, we will explain where legally required.
19. Is the Site intended for children?
The Site sells business and office products and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided personal information without appropriate authorization, contact us so we can review and delete it where required.
We do not knowingly sell or share the personal information of individuals under 16 for cross-context behavioural advertising.
20. Automated processing and recommendations
We and our providers may use automated tools for fraud screening, security, product recommendations, advertising measurement, inventory planning, and customer-service routing. These tools may use transaction, device, account, or interaction information.
We do not intend to make solely automated decisions that produce legal or similarly significant effects on individuals without the safeguards required by applicable law. Orders flagged by fraud tools may be reviewed, delayed, or cancelled where verification cannot be completed.
21. Third-party websites and platforms
The Site may link to manufacturer websites, carriers, payment providers, review services, social platforms, marketplaces, or other third parties. Their privacy practices are controlled by them, not TonerParts. Review the third party’s privacy notice before providing information.
If you purchase TonerParts products through Amazon, Walmart, or another marketplace, that marketplace independently collects and processes information under its own policy and may provide TonerParts with order information needed for fulfilment and support.
22. Changes to this Privacy Policy
We may update this Policy to reflect changes in our services, technology, providers, practices, or legal obligations. The updated Policy will be posted on this page with a revised effective or last-updated date.
If a change is material, we will provide additional notice or seek consent where required by law. We encourage you to review this page periodically.
